Early access — onboarding our first exhibitors

AI event lead capture — capture, qualify, score and follow up on every lead from your exhibitions, conferences and meetings.

Your team had 200 conversations at that show. Your CRM remembers 12. Meetopio captures what was actually said — by voice or badge photo — scores who is worth chasing, and has the follow-up drafted before your team reaches the airport.

Free plan, no card. One person can buy the paid plan. Monthly or annual — cancel any time.

What Meetopio is, plainly

Meetopio is event lead capture and AI lead intelligence software for organisations that participate in meetings, incentives, conferences and exhibitions. Anyone on your team captures a conversation by voice, typed note, badge photo or business card. Meetopio turns it into a qualified lead brief — pain points, urgency, decision authority, evidence quotes and a 0–100 score — then drafts a follow-up email grounded in your own approved content. A human reviews and approves every message before it sends. It runs in the browser, works without an event-organiser badge API, starts free, and can be bought by one person.

Every event you show up to

Trade show lead capture — and every other room you're in.

If your organisation is putting people in front of a market, there is a conversation worth keeping. Meetopio doesn't care which kind of room it happened in.

Meetings

Hosted buyer programmes, partner sessions, one-to-one meetings booked around a show. Capture on the way out of the room.

Incentives

Trips and hospitality where the real conversations happen off-agenda and nobody is holding a scanner.

Conferences

Speaking slots, roundtables, corridor conversations, dinners. The ones that never make it onto a lead list.

Exhibitions

Stands, kiosks and booths, at events that sell a badge API and events that don't.

The gap nobody owns

Events don't lose leads. The week after does.

Badge scanning gives you a name, not a conversation

Lead retrieval tells you she works at a shipping company. It doesn't tell you she's replacing an incumbent in Q3, that budget sits with her director, or that she asked twice about warehouse-system integration.

The notes arrive three days late, if at all

Your team had eleven good conversations on day two — on the stand, in a session, over dinner. By the time the spreadsheet lands on Friday, four are half-remembered and two are gone.

So the follow-up goes out generic

Same deck, same “great to meet you”, sent to everyone at once — a week after the only moment they were actually paying attention.

How it works

Four steps, and only one of them is yours.

Event lead capture without the hardware rental, the badge API or the spreadsheet on Friday.

01

Capture it at the stand

Voice note, typed note, or a photo of a badge or business card. Ten seconds on a stand, in a session, or walking out of a meeting — while it's still in your rep's head.

02

Get a lead brief, not a transcript

Meetopio extracts the pain points, urgency, budget signals, evidence quotes and a 0–100 qualification score — plus the questions your rep forgot to ask.

03

Draft a follow-up that could only be for them

Written against the content your marketing team has already approved. It cites what was said in the conversation. It doesn't invent product claims.

04

A human approves. Then it sends.

Every draft lands in a review queue. Edit, approve, or reject with a reason. Then send from Meetopio, or push straight into HubSpot.

Grounded, not generative

It doesn't make things up. That's the whole point.

Most AI email tools will happily promise a customer a feature you don't sell. Meetopio writes only from documents your team has approved, cites what the lead actually said, and stops if it has nothing solid to work with.

  • Written only from your approved content — never the open internet
  • Any claim it can't trace to a source is flagged, not sent
  • Nothing sends until a human clicks approve
  • Every AI action is logged, so any message can be audited

DRAFT FOLLOW-UP

Hi Elena — good to meet you at the stand on Tuesday. You mentioned paper audits across eleven sites and a hard requirement that anything new talks to your WMS. Our audit module writes back to WMS through a standard connector — here's the two-page rundown, not a brochure.

Grounded in 2 approved documentsSelf-check: no unsupported claims

What's in the box

Everything the week after an event actually needs.

Grounded follow-ups

Drafts are written only from the content your marketing team has approved. If nothing relevant is approved, Meetopio refuses to write rather than guess.

Content library with tracked links

Share a deck or a spec sheet with a link that tells you who opened it and how long they stayed.

Surveys and digital cards

A QR code — on a stand, a badge or a slide — collects qualification answers. Another one hands over your rep's details as a real vCard.

Team roles and visibility

Owners, admins, sales managers, reps and booth staff. Managers can see who captured what, at which event, when.

Export and CRM sync

CSV, or a live CRM sync that creates the contact and attaches the lead brief as a note.

Pricing

Priced for a team that shows up, not a team that procures.

Established platforms in this category typically require five seats minimum on a twelve-month contract you can't cancel. We start at nothing, one person can buy the paid plan month to month, and there's a one-off pass if you only have one event coming up.

Questions we'd ask too.

What is Meetopio?

Meetopio is event lead capture and AI lead intelligence software for organisations that participate in meetings, incentives, conferences and exhibitions. Someone on your team captures a conversation by voice, typed note, badge photo or business card; Meetopio extracts the pain points, urgency and buying signals into a lead brief with a 0–100 qualification score; it then drafts a follow-up email grounded in your own approved content, which a human must approve before it sends.

How is Meetopio different from a badge scanner or lead retrieval app?

A badge scanner records who someone is. Meetopio records what they said. Scanning gives you a name, a company and an email address, which you can also buy from a data vendor. Meetopio captures the substance of the conversation — the problem they described, the timeline they mentioned, who signs off — and turns it into a qualified brief and a specific follow-up.

Does the AI email customers on its own?

No, and it cannot be configured to. Every follow-up sits in a review queue until a person approves it. The rule is enforced on our servers, not just in the interface, so no setting or admin mistake can bypass it.

Will it invent things about our product?

It draws only from documents your team has uploaded and approved, and any claim it cannot trace back to one of those sources is flagged rather than sent. If nothing approved is relevant to that lead, it declines to draft rather than guessing.

Do we need to buy the event organiser's badge API?

No. Meetopio reads badges and business cards from a photograph, so it works at events that don't sell an API — common across Asia and the Middle East — and at events that do, you don't have to buy it.

How much does Meetopio cost?

There is a free plan covering one active event, with ten voice notes and ten badge or business-card scans a month and fifteen AI follow-up drafts. The individual plan is 49 US dollars per month, or 449 US dollars billed annually, which works out at about 37 US dollars a month. A one-time event pass covering a single event is 39.99 US dollars. Team pricing depends on how many seats you need, so it is quoted rather than listed — talk to us and we will price it for your team. Enterprise is quoted individually. These are the US dollar prices; other regions have their own price set in the store.

Is there a mobile app for Meetopio?

Not yet. Meetopio runs in the phone's browser and is built for one-handed use at a stand. Native iOS and Android apps are on the roadmap but are not available today.

Which CRMs does Meetopio integrate with?

HubSpot has a live two-way sync today, which creates the contact and attaches the lead brief as a note. Every plan can export CSV or HubSpot-format CSV. Salesforce, Marketo and Dynamics are on the roadmap and are not available today.

Your next event is already on the calendar.

Set Meetopio up in an afternoon, run it at one stand, and judge it on the follow-ups it writes. That's the whole pitch.
